Not every part belongs on your shelf.
Group parts by failure consequence, availability and safety. The goal is to stock inexpensive stoppage items, confirm local capability and identify the expensive long-lead risks before purchase.
Keep on the shelf
Filters, belts, common seals, fuses, relays, switches, grease fittings, compatible fluids and any inexpensive item that can stop the machine.
Confirm locally
Batteries, hydraulic hoses, fittings, bearings, fasteners, tyres, welding, machining and engine service items that local suppliers can match correctly.
Price before purchase
Tracks, rollers, sprockets, drive motors, pumps, valves, controllers, cylinders and model-specific safety components with long or expensive shipping.
Never improvise
Operator restraints, interlocks, ROPS/FOPS components, load-holding devices, pressure settings and structural or lifting parts requiring approved specifications.
Before buying the machine
Place a test parts order.
Ask for an oil filter, fuel filter, hydraulic filter, seal kit and one model-specific part. Make the supplier identify each item from the serial or production revision rather than from a photograph alone. The exercise tests the catalogue, staff knowledge, stock accuracy, packing and shipping process.
Open and inspect the delivery. Match part numbers and dimensions to the book, then record the cost and elapsed time. If the supplier cannot complete a small parts order while trying to win the machine sale, treat that as a serious ownership signal.
A usable system returns the correct component for the exact revision, with a part number, price and realistic delivery time.
Written remedy
A warranty must explain who pays and what happens next.
Coverage duration is only the first line. Define the start date, covered components, exclusions, maintenance obligations, diagnostic authority, evidence required, labour, freight, failed-part return and replacement timing. If the replacement part is unavailable, the agreement should state the remedy rather than leaving the machine idle indefinitely.
Who confirms the fault, and will the supplier accept a local technician’s report?
Is removal, installation and troubleshooting paid, reimbursed or entirely the buyer’s responsibility?
Who pays to return the failed part and ship the replacement, including urgent air freight?
What response and dispatch times apply, and what happens when the part is out of stock?
Business continuity
Price the days when the machine cannot work.
Downtime includes more than the replacement part. Add idle labour, rescheduling, transport, diagnosis, rental equipment, expedited freight and work that cannot be recovered. A dealer loaner, rental substitute or second machine can reduce the consequence even when the repair itself still takes weeks.
Choose the recovery plan by job criticality. A property owner using the machine monthly can tolerate a different delay from a contractor whose crew depends on it every morning. The same imported machine can therefore be a reasonable fit for one buyer and an unacceptable risk for another.

01What parts information should the supplier provide before payment?
Request an illustrated parts book with part numbers, component brands, dimensions where relevant and production-revision notes. Add photographs of the engine, pumps, valves, motors and controllers. Confirm that the documents match the exact machine rather than a related model.
02How can I test whether parts support is real?
Place a small paid order for filters, seals and one model-specific item before buying the machine. Record response time, part-number accuracy, packing, shipping method and whether the received parts match the drawings. A successful test order is more useful than a general promise that every part is available.
03Which starter spares should arrive with the machine?
Use the exact service schedule and operating environment. Typical categories include filters, belts, seals, hoses, switches, relays, fuses and machine-specific wear items. Add any inexpensive component whose failure would stop work and whose overseas delivery would take weeks.
04Does a common engine guarantee easy support?
A recognizable engine can improve access to service items, but verify the exact engine model, emissions version, starter, alternator, cooling package and installation-specific parts. The rest of the machine—hydraulics, controls and undercarriage—still requires its own support plan.
05Can a local hydraulic shop solve most problems?
A capable shop may reproduce hoses and service standard components when specifications are known. It cannot safely guess pressure settings, substitute an unidentified valve or replace missing load-holding and safety information. Provide diagrams, plate data and clean-system requirements.
06What should a written machine warranty contain?
Define covered components, start date, duration, exclusions, required maintenance, diagnostic authority, evidence, labour, freight, return of failed parts, replacement timing and the remedy when stock is unavailable. A one-year label without these terms leaves the largest costs unanswered.
07Is dealer-backed equipment always the safer choice?
Dealer stock, technicians and loaner policies can reduce downtime, but the brand name alone does not guarantee rapid repair. Ask the local dealer about exact-model parts, diagnostic capability, field service, response time and replacement-machine policy before comparing the support premium.
08How should I estimate downtime cost?
Add idle labour, delayed jobs, rental replacement, transport, diagnosis, parts freight and lost contribution from work that cannot be rescheduled. Use realistic lead times for the component most likely to stop the machine. Downtime belongs in the ownership comparison, not only the repair budget.
09What maintenance records should I keep?
Record meter hours, date, work performed, fluids, filters, part numbers, torque or adjustment checks, faults, photographs and the person completing the service. Baseline photographs of hoses, wiring, pins, tracks and fluid condition make changes easier to identify.
10When is an unsupported import a poor fit?
It is a poor fit when the machine earns money daily, the owner cannot perform basic inspection and diagnosis, component identities are missing, safety documentation is weak, or the business cannot tolerate a long parts delay. A lower purchase price does not offset an unmanageable recovery plan.
