Decide whether direct import fits your operation.

Direct import can give you access to more configurations and a lower factory price, but it moves coordination and technical risk to the buyer. You need enough cash to carry the transaction until the machine is released, enough technical ability to inspect and commission it, and a plan for parts that does not depend on a long overseas shipment every time a hose, filter or switch fails.

Begin with the work rather than a marketplace card. Measure the narrowest gate and travel route. Record the heaviest normal load, digging depth, dump height, ground condition, gradient and attachment duty. Confirm how the machine will move between jobs and where it will be stored. A one-ton excavator, stand-on loader, tracked dumper, compact wheel loader and walk-behind roller solve different work cycles even when their prices overlap.

A direct order is a better fit when the machine's daily task is clear, the configuration can be inspected, routine parts are identifiable, a competent local mechanic can work on it, and downtime can be absorbed. A locally supported machine may be the better value when the machine must earn every day, finance depends on immediate operation, or the buyer cannot diagnose hydraulic and electrical faults.

Complete the local plan first.

Have a broker, forwarder or shipping contact, delivery route, unloading method and commissioning location before the supplier receives a deposit.

Supplier pages often combine several models, engines, attachments and quantity prices. The contract should attach a schedule that leaves no important field to a sales-chat promise.

Ask for the bare operating weight and the shipping weight separately. Freight is based on the packed cargo, while transport and site planning may depend on the operating machine with its normal attachment. Record the machine, crate and each loose package. Request a dated, continuous video of the packed cargo being measured and weighed when listing data looks generic or impossible.

Use photos of the actual component plates, not only a brochure. A familiar engine brand does not identify the hydraulic pump, valve, drive motors, filters, electrical controls or track system. Those components determine whether a mechanic can diagnose the machine and whether replacement parts can be cross-referenced locally.

List every attachment separately. Include its weight, interface, hydraulic demand, couplers, hoses and required control. The machine may reach the port with the bucket inside the crate, the forks in a second package and the auger shipped loose; the packing list and delivery truck must account for all of them.

Supplier and payment controls

Build protection into the transaction before production.

Confirm the legal company receiving payment, the factory producing the machine and the exporter shown on the documents. They may be related but are not automatically the same entity. The company name and bank beneficiary should match the contract or have a documented explanation. Keep negotiation and payment inside the chosen platform when its protection is part of the buying decision.

Use payment milestones tied to observable work. Define the deposit, the evidence required before the balance, inspection acceptance and the conditions for correcting a non-conforming machine. A test video chosen entirely by the seller is weaker than a written test sequence. Require a cold start, instrument display, hour meter, engine and component plates, travel in both directions, combined hydraulic functions, every attachment, leak inspection and shutdown/restart.

The final inspection should also verify paint and labels only after the mechanical identity is settled. Record the serial number in the invoice and inspection report. Photograph the serial plate, engine plate, pump, valve, drive motors and crates. Match loose tools and spares to the packing list. Review invoice, packing list and bill-of-lading instructions with the broker before the supplier issues final documents.

Define the remedy rather than relying on the word “warranty.” State who diagnoses a defect, the response time, whether the seller supplies parts only, who pays international freight, whether labour is covered and what happens if the machine or engine differs from the schedule. A cargo claim, a platform dispute and a machine warranty each cover a different failure.

Shipping responsibility

Use the rule, version and exact named place.

“FOB China,” “CIF destination port” and “DDP shipping” are incomplete descriptions. Write the Incoterms 2020 rule and the named factory, terminal, port or delivery address, then attach a charge-and-responsibility schedule.

EXW

Maximum buyer coordination

The seller makes the machine available at its premises. The buyer carries extensive origin pickup and export responsibility. Use it only when your forwarder can manage the Chinese origin work and the supplier can support the required export documents.

FCA

Often practical for container cargo

The seller delivers to the carrier at the named place and completes the export formalities. The exact factory, depot or terminal matters. FCA often gives a container buyer clearer control of the main freight without taking on every EXW origin task.

CFR / CIF

Main freight to the named port

The seller arranges freight to the named destination port; CIF also includes the rule's insurance obligation. Risk transfers earlier than many buyers expect. Clearance, taxes, local port and line charges, haulage and unloading are not automatically delivery to your site.

DAP

Delivery to a named destination

The seller arranges carriage to the named destination, ready for unloading, while the buyer handles import clearance and import charges. Confirm whether the destination can receive the truck or container and who pays waiting, unloading and return charges.

DDP

Seller takes the broadest obligation

The seller is responsible for delivery and import clearance under the rule. Before relying on a DDP label, identify the importer on the declaration, broker, taxes, delivery address and every exclusion. A vague marketplace promise is not a complete destination contract.

Ask the forwarder to quote from the confirmed package count, gross weight and dimensions. The quote should name the origin point, destination port or terminal, equipment type, route, transshipment, sailing validity, free-time assumptions and included charges. Record whether the machine travels in a shared container, full container, flat rack or another method. The cheapest method may not be the safest once lifting, exposure and destination handling are considered.

Insurance should follow the actual risk. Record the insured value, covered events, deductible, exclusions, survey requirement and claim deadline. Inspect the cargo before and during unloading, because visible shipping damage must be documented promptly. CIF's insurance obligation is not a promise that every type of damage or the full replacement exposure is covered.

Calculate three totals, not one.

Contract total is what the supplier receives. Delivered total adds every amount required to place the cargo at your site. Work-ready total adds commissioning, starter spares and the equipment needed to use and transport it safely.

Build the worksheet in the currency of each quotation and show the exchange-rate assumption separately. Freight and Customs may use rates or valuation rules that differ from your bank's card or wire conversion. Keep a low, expected and high case for route surcharges, examination, storage and local delivery. The purpose is not to predict every dollar; it is to make missing responsibility visible before it becomes an invoice.

Do not compare two offers until their configurations and delivery points match. A lower machine quote may exclude the engine option, hydraulic thumb, spare filters, export packing or destination handling present in the other offer. A slightly higher quotation with accurate package data, document drafts and a priced parts package can carry less total risk.

Keep first-year ownership outside the import total but inside the purchase decision. Add service consumables, replacement wear parts, storage, insurance, finance, transport between jobs and a downtime allowance. The machine that clears for less can cost more when one unique component stops it for six weeks.

Destination clearance

Prepare the entry before the vessel arrives.

Find out whether the destination requires a licensed customs broker or permits the importer to file directly. Give the broker or customs authority the complete technical description, supplier quotation, intended use, attachment list, manufacturer information and proposed shipping term before committing to the order. This allows time to discuss tariff classification, permits, importer and consignee details, and the documents the supplier must prepare.

The process commonly spans pre-arrival preparation, arrival and cargo handling, declaration and assessment, payment, possible examination, and release. Systems, forms and responsibilities differ by destination. The importer remains responsible for accurate commercial information and for making funds available when charges fall due, even when an agent prepares the entry.

The supplier invoice, packing list and bill of lading are the core commercial and transport records. Depending on the shipment, a certificate of origin, import licence, emissions document or technical certificate may also matter. Use a shipment-specific list from the destination authority or broker. Names, addresses, quantities, weights, marks, values and machine descriptions should agree across the documents.

The Harmonized System provides the international classification structure, but countries extend it with national tariff lines and local measures. Do not treat a seller's HS code as the final entry. Mini excavators, loaders, dumpers and rollers perform different functions, and separately packed attachments may require their own treatment. Confirm the destination classification and current rate with a qualified broker or customs authority.

A rough “machine price × tax rate” calculation is rarely the complete import assessment. Customs valuation, freight, insurance, tariff treatment, origin and destination rules can affect the amount. Confirm duty, VAT, GST, sales tax and fees for the actual transaction. A registered business should separately confirm accounting treatment and record requirements while retaining enough cash to complete release.

Some destinations provide conditional relief for approved agricultural, manufacturing, environmental or investment activity. These programmes are not automatic exemptions for compact equipment. Obtain written eligibility and approval before using any concession in the buying budget.

Arrival, release and delivery

Make the vessel's arrival an execution step, not the start of planning.

Track the shipment and establish who will issue the arrival notice. Confirm whether the bill of lading requires an original, surrender or electronic release. Ask the shipping line or destination agent for its documentation, release, terminal and container-time schedule. Port charges and free time depend on the cargo, carrier, terminal and timing; a previous importer's invoice is not a dependable quote for your shipment.

Before arrival, the broker should have the final document set and answers to outstanding description or valuation questions. Reserve the truck or low-bed with enough capacity for the packed cargo and the operating machine. Confirm the port or warehouse loading method, lifting points, package dimensions, site access, overhead restrictions and unloading equipment. A container delivered to a narrow residential site can become an expensive problem when it cannot turn, wait or unload safely.

Storage, demurrage and detention describe different time-related exposures, but all reward preparation. Ask when the clock begins, how many free days apply, which party controls the container and what daily charges follow. Customs release alone may not complete shipping-line and terminal release. Coordinate each release before dispatching the truck.

Inspect the cargo at the collection point where practical. Photograph the crate before it is moved, note punctures, water exposure, shifted cargo or broken seals, and compare package marks to the bill of lading and packing list. If visible damage exists, notify the carrier, insurer and supplier within their required time and preserve evidence.

Work readiness

A released machine still needs to be commissioned.

Unload on stable ground with equipment rated for the actual mass. Do not use the machine's own hydraulics to improvise a dangerous descent from a container. Follow the documented lifting and ramp points, control the exclusion area and have a recovery plan if the machine does not start or travel.

Before starting, inspect the machine for shipping damage, loose fasteners, disconnected batteries, pinched hoses and missing components. Confirm engine oil, coolant, hydraulic fluid, final-drive oil and fuel requirements. Check filters, grease points, track tension or tyre pressure, pins, couplers, guards, seat or platform interlocks, emergency stop and warning devices. Shipping preparation may involve drained fuel, disconnected electrical systems or loose components.

Start from cold and let the machine reach operating condition without immediate heavy work. Test travel, steering, brakes, boom or loader functions, auxiliary hydraulics and every attachment. Watch temperatures, sounds, leaks and cylinder drift. Recheck fluids, fittings, fasteners and track tension after the first operating period. Record the hour meter and establish the local service log from that point.

Keep a starter package near the machine: service filters, belts, fuses, relays, common seals, hose and fitting information, track or tyre part numbers, keys and the correct fluids. The exact package comes from the component identities and service schedule, not a generic “free spares” carton. Store manuals, parts books, wiring and hydraulic diagrams, supplier contacts, photos and serial records where the mechanic can reach them.

01Do I need a customs broker to import a mini excavator?

02What is the Customs duty on a mini excavator?

There is no safe universal rate for every mini machine or destination. Classification depends on the equipment, function and configuration, while the assessed amount depends on the destination tariff, customs value, origin rules and any applicable measures. Use the destination customs tariff and have a broker or customs authority confirm the likely treatment. Do not rely on a supplier's code or another buyer's calculation.

03Will I pay VAT, GST or sales tax on imported machinery?

Many destinations assess an import tax in addition to any customs duty, but the tax name, rate, valuation base, exemptions and business-credit treatment vary by country. Confirm the current rule with the destination customs authority and a qualified tax adviser. Even when a business can later claim a credit, it may still need enough cash to complete clearance.

04Does CIF include Customs, port charges and delivery?

No. CIF covers cost, insurance and freight under the rule to the named destination port, but it does not mean cleared and delivered to your yard. Import clearance, duties and taxes, shipping-line and terminal charges, port storage, local transport and unloading still need to be assigned and priced.

05Is DDP the easiest way to buy directly from an overseas supplier?

13How do I avoid port storage and container charges?
